Bookings allows you to offer two types of services: appointments and events.
With an event, you choose the date, start time, duration and maximum number of attendees. Customers can then book a place at the event. An event does not need to take place during your usual business hours.
With an appointment, customers view your availability and choose an available time slot from your calendar.
This guide explains how to create an event. Events can take place in person or online.
Open Bookings
Open Bookings, then click the main menu in the top-left corner to display the side panel. Select Appointments.
Add a new service
- Select Services from the left-hand menu.
- Click + Add service on the right-hand side of the screen.
Choose the service type
Select Event.
This service type allows multiple customers to book a place at a scheduled event. The number of places available depends on the capacity you set.
Add the service details
Enter the following information:
- Event name
- Description
- Image
- Duration
- Capacity
The capacity determines the maximum number of customers who can book each occurrence of the event.
Add a customer information document
You can optionally upload a document containing useful information about the event, such as a programme or timetable.
The booking confirmation email will include a button that the customer can use to download the document.
Choose how the event will be delivered
You can deliver your event in one of three ways:
- Online: Enter the link customers should use to join the event. This link will be included in their booking confirmation email. If you have connected Google Calendar, you can select Google Meet and a meeting link will be generated automatically. After creating the event, you can view this link in your Bookings calendar.
- Business location: Your business address will be shown during checkout and included in the confirmation email.
- Other: Enter your own location or delivery information. This will be shown during checkout and included in the confirmation email.
Choose the service visibility
Your event can be Public or Unlisted.
Public events appear on the Services page of your website. Unlisted events do not appear on this page, but customers can still view and book them if you send them the direct service link.
Set the price
Choose whether the event will be free or require payment.
For a paid event, enter the price. Customers will be directed to your selected payment method during checkout.
Add booking information
Add any additional information that customers need before attending the event. For example, you could explain what they should bring, how they should prepare or whether there are any requirements for taking part.
This information will be included in the booking confirmation email.
Set the event dates
Choose the date and start time of your event.
If the event will take place more than once, you can make it recurring and choose how frequently it should repeat. You can also decide when the series should end.
In the example above, the event takes place every Monday from 1 August and ends after four occurrences. The resulting event dates are shown below.
Configure the scheduling settings
Choose whether customers must book a certain amount of time before the event begins.
Once this advance notice deadline has passed, customers will no longer be able to book a place at that occurrence of the event.
Save and publish the event
Save your changes when you have finished configuring the event.
If the event is public, it will appear on the Services page of your website and customers will be able to book a place. If it is unlisted, customers will need the direct service link to access it.
